  • File Management – Intelligent managing of files in Email Marketing 98 could prove to make it extremely easy program to use
  • Using Your Remove Addresses – One of Email Marketing 98’s more powerful features is its ability to remove addresses and maintain a list of addresses to remove (not to email).
  • Handling Complaints – No matter how nice you are, there are going to be complaints and you need to know how to handle them in a business-like manner.
  • Using Blind Cc: – It can be tempting to use Blind Cc: to its fullest extent but you need to understand both the advantages and the disadvantages.

File Management

Intelligent file management could make your Email Marketing 98 experience a fruitful business venture or a hair-pulling nightmare. This "Tips and Tricks" topic will show you some smart file management practices that could save you hours of frustration.

  1. Create folders for each project. This will allow you to separate your files into a manageable directory tree for easier locating. For example, if you are doing a search-and-extraction of the WWW for "Email Marketing 98" you might create a directory entitled "Email Marketing 98" or "EM98" to contain all of the links, addresses, remove addresses, and message files.
  2. Use long file names. Using long files allows you to give a more specific description for each file. For example, after extracting some addresses for Email Marketing 98 you decide to save them to your "Email Marketing 98" directory. Using the name "Email Marketing 98 Addresses" will help you find them quicker.
  3. Include dates in file names. Attaching the date to a filename will give you greater ease in finding specific files. This is especially useful if you are doing several mailings using the same keywords.

Using Your Remove Addresses

"Remove Addresses are your best friend" should be a common saying among Email Marketing 98 users. These powerful, yet-neglected email addresses will help you to stay out of trouble as you use Email Marketing 98 to market your product or idea on the Internet. As you are extracting addresses from the newsgroups, be sure to develop these tips into habits.

  1. Load your Remove Addresses every time you begin. Remove Addresses are very important. So, every time you start up Email Marketing 98, load your Remove Addresses as well.
  2. Use one Remove Addresses list per project. This way, you won’t exclude anyone who has received an email about one project from receiving an email from another.
  3. Keep one "Request" Remove Addresses list. Many people don’t like to receive email in their boxes and will complain. When this happens, place their address on a special "Request" Remove Addresses list. Load this file every time you use Email Marketing 98 to ensure that this person won’t be emailed again.

Handling Complaints

No matter how tactful and pleasant your emails are, you will have complaints. Some complaints will be as simple as "please remove me from your mailing list" while others will be rude and abusive. Here are some tips for dealing with these complaints.

  1. Wear a thick skin. Unfortunately, some people will be abusive, attacking you and your product. Try not to let these get to you. Sometimes you may have caught a person at a really bad time and they are just venting. Just place their email address in your Request Remove Addresses list and move on.
  2. Use a mail filter. In extreme cases, you might end up on a mailing list or receive multiple complaints from one source. To avoid this, first request to be removed from the mailing list, then, if mailing persists, add the email address to a mail filter that will automatically delete any more messages from that address.

Using Blind Cc:

Perhaps the most powerful feature of Email Marketing 98 is its ability to send messages using Blind Cc. Before you start setting your Blind Cc to its maximum setting (99), please consider the following advantages and disadvantages.

Advantages:

  1. Enormous decrease in mailing time. For every message that Email Marketing 98 sends, your mail server is actually sending what you have your Blind Cc set for. For example, if your Blind Cc is set to 20, your mail server is sending 20 messages for every message that you send to it. As it has to send an additional line to the server and receive a reply for each bcc added, it will cut the time to send the massage by a factor of 15.
  2. Enormous increase in mailing rate. As your mailing time decreases, your mailing rate increases. At its maximum Blind Cc setting, Email Marketing 98 can send somewhere around 50,000 messages per hour.
  3. Bottom Line: With Blind Cc you could announce your product quicker and to a larger audience. The increase in speed and number could make a big difference in your products distribution.

Disadvantages:

  1. Messages are less personal. When messages are sent singly (with no Blind Cc), there is a certain personal feeling that the recipient can get because the header contains one email address: theirs. When email messages are sent using Blind Cc, the "To:" field only contains the first email address on the Blind Cc list. That is, if you have your Blind Cc option set to 99 messages, all 99 recipients will see the first recipient's email address in their "To:" field. This can be a deterrent as it is very impersonal.
  2. Bottom Line: Users are less likely to respond to emails sent using Blind Cc because it is very impersonal.

Finally:

Use your own discretion. Some products may actually be more suited to Blind Cc while others might require a more personal touch. Find a good balance.
